Credit and monthly accounts for supermarkets

In a mini-market, credit is not only for neighbourhood families: offices, building committees and nearby businesses also buy all month and pay at the end. Baki Fast keeps each account separate and sends an itemised statement at month end in one tap.

Who buys on credit in a supermarket

A mini-market usually has several kinds of credit customer. Families put their weekly shop on the account. An office down the road takes tea, sugar, bottled water and cleaning supplies all month and pays once. A housing committee or building caretaker buys for shared areas. The shop next door says “we’ll settle this evening”.

Each wants something different. A family wants the total. An office or committee wants an itemised list, because someone else has to approve the payment.

Where the accounts get mixed up

  • Several cashiers: the morning shift writes something the evening shift never sees, and an order is written twice or not at all.
  • Card and cash payments: some customers settle in cash, some by card or bank transfer. Put everything in one till and closing never balances.
  • Asking for a breakdown: “What did we buy in February?” can take half an hour to answer from a paper book.
  • Months that slip: an account that should close every month quietly runs into a second and third month.

Setting up supermarket accounts in Baki Fast

  1. Add a separate customer for each family, office and committee. For an office, use the phone number of the person who actually pays.
  2. Write purchases as item lines: “3 × 19 L water”, “2 × tea 1 kg”. The breakdown is ready whenever someone asks.
  3. Give company accounts a due date, for example one month. Unpaid ones move to the overdue list.
  4. At month end, open the customer’s statement, choose the period and send the account statement as an A4 PDF.
  5. Cash payments go into the till automatically. To keep card or bank payments apart, Pro lets you add bank and card accounts next to the till.
  6. If several staff need to write in the same book, Pro’s cloud sync opens it on a second phone or a computer.

A month-end message for an office

Month-end company statement

Hello Mr. Rahman, this is Hope Mini Mart. Your office account for October is 4,860. The itemised statement is attached as a PDF. Payment by 5 November in cash or by bank transfer would be great. Thank you for your business.

Baki Fast does not replace your till system or invoicing software, and it does not issue invoices. Keep using those for receipts and tax; use Baki Fast to know who owes you what and what went into the cash drawer.
